Cancellation, Return & Refund Policy

(Applicable to All Orders)

This policy outlines the terms governing order cancellation, returns, replacements, and refunds for products purchased from Vaidban, whether through:

  • Official website
  • Call center
  • Clinics or consultation centers
  • Retail outlets or authorized stores
  • Authorized representatives of the company

By placing an order through any of the above channels, the customer agrees to the terms and conditions mentioned in this policy.

1. Customer Information & Consent

By placing an order with Vaidban, the customer confirms that:

  • All information provided during order placement, including name, mobile number, and delivery address, is accurate and complete.
  • The provided mobile number is active and reachable for order confirmation, consultation, or delivery coordination.
  • There is no mismatch between the delivery location and the phone number country code (for example, an international number used with an Indian delivery address).
  • Any request for changes in order details such as address or contact information will be communicated to customer support within 12 hours of placing the order.

Vaidban shall not be responsible for delivery failures, delays, or incorrect deliveries resulting from incomplete or inaccurate information provided by the customer.

2. Order Verification & Payment Confirmation

To ensure safe and secure transactions, Vaidban reserves the right to verify orders before processing or dispatch.

Orders may be subject to verification in cases including but not limited to:

  • Unusual or suspicious order activity
  • Mismatch between payment details and customer information
  • High-value transactions
  • International orders
  • Delays in payment confirmation from banking channels or payment gateways

Payment verification timelines may vary:

  • Domestic payments may take up to 24 hours for verification
  • International payments may take up to 72 hours or longer, depending on banking processes and international settlement timelines

Order processing will begin only after successful payment confirmation in the company’s bank account or payment gateway.

If payment cannot be verified or appears suspicious, Vaidban reserves the right to:

  • Request additional verification from the customer
  • Delay order processing until confirmation is received
  • Cancel the order if payment verification fails

This process is implemented to protect both customers and the company from fraudulent transactions.

3. Order Cancellation

3.1 No Cancellation Policy

We do not have a cancellation policy. Once an order is placed, it must be processed and delivered. In case of any reverse pickup or return, the courier charges will be borne by Vaidban.

3.2 Company Rights

To maintain safe and fair transactions, Vaidban reserves the right to:

  • Cancel orders suspected of fraudulent activity
  • Cancel orders that violate company policies or terms
  • Restrict or block customers involved in repeated suspicious or abusive transactions

4. Return & Replacement Policy

Due to the nature of Ayurvedic, herbal, and healthcare products, Vaidban follows a strict no-return and no-exchange policy once products are delivered.

However, exceptions may be considered under specific circumstances.

4.1 Eligible Cases for Return or Replacement

A return or replacement request may be considered only if:

  • The product received is damaged
  • The package received is empty
  • A wrong product has been delivered
  • Items are missing from the order

Returns or replacements will not be accepted for reasons such as change of mind, personal dislike, or perceived lack of results.

4.2 Mandatory Proof Requirement

To raise a valid claim, the customer must provide:

  • Unboxing video (mandatory) clearly showing the package being opened
  • Video showing packaging damage or defect (if applicable)
  • Clear photographs of:
    • Outer packaging
    • Shipping label
    • Product received

Requests submitted without proper proof may not be accepted.

4.3 Reporting Timeline

Any issue related to damaged, incorrect, or missing items must be reported within 24 hours of delivery. The delivery timestamp recorded by the courier partner will be considered the official delivery time.

Requests raised beyond this timeframe may not be considered.

4.4 Product Condition Requirement

For any return or replacement request to be considered:

  • The product must be unused
  • The product must be unopened and in its original packaging
  • The seal, labels, and packaging must remain intact

Products that appear used, consumed, tampered with, or partially used will not be eligible for return or replacement.

4.5 Important Instructions

  • Customers must not send products back without confirmation from customer support.
  • The order ID or receipt number must be shared when raising a request.
  • Each case will be reviewed and verified individually before approval.

5. Refund Policy

5.1 Refunds for Order Cancellation

If an order is successfully cancelled before dispatch, the refund will be processed.

The refund amount will be credited to the original payment method within 7–10 working days, depending on the bank or payment provider.

5.2 Refunds for Approved Claims

If a claim related to damage, incorrect product, or missing items is approved after verification, the resolution may include:

  • Replacement of the product (preferred option), or
  • Refund, if replacement is not feasible

Refunds will be processed only after verification and approval of the claim.

5.3 Shipping Charges

Shipping charges, if applicable, are non-refundable, except in cases where the issue occurred due to an error on the company’s side (such as damaged or incorrect products).

6. Late or Missing Refunds

If you have not received your refund:

  1. Please check your bank account again
  2. Contact your bank or payment provider, as processing times may vary
  3. If the issue still persists, please contact our support team

7. Fraud Warning & Unauthorized Orders

Vaidban has observed instances where fraudulent individuals or entities falsely claim to represent the company.

Customers are strongly advised to place orders only through official Vaidban platforms, clinics, customer support centres, or authorized representatives.

If any person falsely claims to represent Vaidban and collects payment or sends unauthorized parcels, the company shall not be responsible for such fraudulent activities.

Customers who encounter such incidents are encouraged to:

  • Share relevant proof and transaction details with our support team so that we can Report the matter to the Cyber Crime Cell or local authorities
  • Raise dispute for transaction with your bank or report at www.npci.org.in (if payment done online)

Upon receiving appropriate proof, Vaidban may assist authorities by sharing relevant information to help address such fraudulent activities.

8. Force Majeure

Vaidban shall not be held responsible for delays or failure in order processing or delivery caused by circumstances beyond its reasonable control.

Such circumstances may include but are not limited to:

  • Natural disasters
  • Government restrictions
  • Transportation or courier disruptions
  • Strikes or labor issues
  • Technical failures or payment gateway outages
  • Any other unforeseen events beyond the company’s control

In such situations, order processing or delivery timelines may be affected.

9. Health & Product Disclaimer

Vaidban Ayurvedic products are intended to support general wellness and health.

Individual results may vary depending on factors such as body type, health condition, lifestyle, and adherence to recommended usage.

The company does not guarantee identical results for every individual.

Customers are advised to consult a qualified healthcare professional where necessary before using healthcare or Ayurvedic products.

10. General Conditions

  • All claims and requests are subject to verification and approval by the company.
  • Requests found to be fraudulent, repetitive, or abusive may lead to restriction from future services.
  • The company reserves the right to deny service or cancel future orders in such cases.
  • This policy may be updated or modified without prior notice.
